Information we collect

We may collect personal information when you contact us, submit a form, request a quotation, request specification support, email us, call us or otherwise communicate with Lumenloop. This may include your name, business name, email address, telephone number, project information and any information you choose to provide in your message.

Our website may also collect technical information such as page path, page title, date, device/browser information and cookie consent preferences.

How we use information

  • To respond to enquiries and provide commercial lighting information.
  • To prepare quotations, product information, specification notes and order documentation.
  • To manage customer, supplier and project communications.
  • To improve website performance, security and usability.
  • To comply with legal, accounting and business record obligations.

Our lawful bases

We only process personal data where we have a lawful basis. Depending on the circumstances, we rely on: steps taken at your request before entering into a contract and performance of a contract; our legitimate interests in answering business enquiries, administering customer and supplier relationships, securing and improving the website, and keeping appropriate business records; compliance with legal obligations; and consent for optional analytics or advertising cookies and any electronic marketing that requires consent. Where we rely on legitimate interests, we consider the effect on your rights and interests.

Cookies and analytics

Lumenloop uses cookies and similar technologies where needed for website operation, cookie preferences, analytics and advertising measurement. Google Analytics and Google Ads only run after optional cookie consent.

Lumenloop also records aggregate page traffic for site performance and statistical purposes. This first-party count records the page path, page title, date and total number of views. It does not store IP addresses, user agents, visitor IDs, cookie IDs or individual browsing profiles.

More detail is available in our Cookie Policy.

Embedded content and external websites

Pages on this site may include links or embedded content from other websites. Those websites may collect data about you, use cookies or monitor your interaction with their content according to their own privacy policies.

Who we share data with

We do not sell personal data. We may share information where necessary with website and IT hosting providers, email and communications providers, form and security providers, analytics and advertising providers where you have consented, professional advisers, payment or accounting providers, delivery partners and public authorities where the law requires it. These organisations may act as processors or as independent controllers for their own services.

How long we keep data

We keep unsuccessful enquiry and quotation records only for as long as reasonably needed for follow-up, dispute handling and business administration. Customer, supplier, transaction and accounting records are normally retained for up to six years after the end of the relevant financial year or relationship, unless a longer period is required for a legal claim, warranty or other legal obligation. Cookie consent choices remain until you change them or clear browser storage. We periodically review records and securely delete or anonymise information that is no longer required.

Your rights

Depending on the circumstances, you may have the right to access your personal data, correct inaccurate data, request erasure, restrict processing, object to processing, and receive certain data in a portable format. Where processing is based on consent, you may withdraw that consent at any time without affecting earlier lawful processing. You also have the right not to be subject to a solely automated decision that has a legal or similarly significant effect. Lumenloop does not use website enquiry data to make such decisions.

To exercise a right, email info@lumenloop.co.uk. We may need to verify your identity and will normally respond within one month. Rights are not absolute and legal exemptions may apply.

Complaints

Please contact us first if you have a concern so that we can try to resolve it. You may also complain to the Information Commissioner's Office (ICO), the UK data protection regulator, at ico.org.uk/make-a-complaint or by telephone on 0303 123 1113.

Where data is sent

Some service providers may process data outside the UK. Where UK data protection law requires it, we use a recognised adequacy regulation or appropriate safeguards such as the UK International Data Transfer Agreement, the UK Addendum to approved standard contractual clauses, or another lawful transfer mechanism. You may contact us for more information about relevant safeguards.

We use proportionate organisational and technical measures intended to protect personal data. No internet transmission or storage system can be guaranteed completely secure. We may update this notice when our services, suppliers or legal obligations change. The current version will be published here.
